Well, I don't know how it happened but I have let two months go by without writing to you all. I'm happy to say that it has been because I've had a busy "off season". So much to share with you! Sylvie and Ben's lovely wedding was actually from last Summer but I haven't had the chance to share it with you yet so I hope you enjoy!

I adore Sylvie and Ben. They are sweet, kind and generous to their family and friends. And something else that is rare these days, their value of filial piety. They planned their whole wedding based on this value. Throughout the whole planning process the question was always asked "what would mom/dad/my parents want?". How many of us would put our parents desires above our own?

Sylvie and Ben held their wedding ceremony on a beautiful sunny morning at Graydon Hall Manor. After the ceremony, the guests relaxed and enjoyed a lovely garden high tea and beautiful Chinese music performed by a classically trained Chinese guzheng musician. The reception followed that evening with a ten course Chinese menu prepared by the talented chefs at Lai Wah Heen at The Metropolitan Hotel. The guests were entertained with singing by the talented Chinese MC, the traditional Chinese wedding games and a lively performance by Chinese lion dancers.

I have had such a wonderful year of working with amazing couples but Marion and David were one of the most loveliest couples that I had the great opportunity to work with. I don't write lengthy blog posts but I would like to share that they encountered a bump in the road during the planning process which meant the possibility that Marion would not be able to walk down the aisle nor dance at her own wedding. Let me tell you folks that not only is Marion sweet but she is strong because she walked down that aisle and she tore the dance floor up! I'm sad to say that I have no photos to document my night last night. You lovely readers will just have to believe me when I say how phenomenal it was! The hand delivered invitation from the Ritz Carlton Toronto last week hinted at the event that was to come but I was still blown away by the caliber of care that was given to all the details. I feel very honoured and privileged to have been included in this small group of wedding planners who are the best of the best in Toronto.The moment that I pulled my car up to the valet I was greeted by name (I still don't know how they knew it was me). The personal service continued throughout the whole evening of pampering with details such as a personalized note placed in my locker welcoming me to the event and informing me of the events that were to come. I received the intoxicating Flowers and Herbs Body Polish which made all my pores sing. I am hooked! This was followed by the most fantastic five minute makeover that I have ever experienced at the hands of esteemed makeup artist Jackie Gideon and her team of miracle workers. The whole evening confirmed what I already knew which is that having your wedding at The Ritz Carlton would mean you and your guests would be treated like royalty. If this sounds good to you, call me!

I had so much fun this past weekend with Julie, Dan and the amazing team of vendors: The Rosewater Room, Renaissance Studios, Nice Stems, Let it Spin DJ, and The Cupcakery.

I just wanted to leave a quick note to let you all know that I haven't abandoned this blog! The 2011 wedding season is ramping up, inquiries for 2012 have been steadily coming in and I'm in the market for a house. All this means that I haven't had a second to write on this blog! I'll be back with some good stuff next week!

On another note, if any of you are ever in the market for a real estate agent, I LOVE mine! Kelly McCaughley of Royal LePage Signature Realty is as devoted to her clients as I am to mine. I trust her completely to watch for my best interest and I never feel as though I come second to anyone else. I'm not sure how many people can say that about their real estate agent.

A hot 2011 wedding trend - photo packages in Asia

A trend that I have been noticing with my clients recently is the use of full service photography studios in Asia for their wedding portraits. Their popularity has grown exponentially due to the affordability and quality of the services provided by these studios in Singapore, Taiwan and Hong Kong. For less than $1500 they will provide you with the latest bridal/evening fashion; transform you under the hands of talented makeup and hair artists; and deliver high quality images of you and your beloved. Talkback Tuesday: Tipping and Taxes

Talkback Tuesday is the day when I highlight a wedding planning issue, quandary or dilemma.

This month has involved a great deal of budget development on behalf of some of my clients. I have blogged in the past about budget allocation but I wanted to specifically talk about the lines in your budget for the two T's - tipping and taxes. Hopefully, you do have these lines in your budget and if you don't you need to add them into your spreadsheet right after you finish reading this post because yes, you have to pay them. And the amounts are significant,particularly since the inception of the 13% HST. That's 13% on all your wedding expenses. If that's not clear enough, for a budget of $50,000 you will only have approximately $44,000 to spend as $6000 of that will be for taxes.

As for the other T - tipping. That's one of the most frequent etiquette questions that I field. Do I have to tip? No, but you should. It's a way to show appreciation for the effort that others have made to make your special day run beautifully and smoothly. Who should I tip? Almost everyone who provides a service for you on your wedding day. How much should I tip? It's up to you but there are certain guidelines. From tipping the parking attendant a couple of bucks to 15-20% of your food and beverage costs, gratuities add up to be a substantial line on your budget too. On a recent budget that I prepared for a client, the gratuities added up to $4500.

Did you just add the two numbers together? If you didn't, it's $10,500. That's 20% of a $50,000 budget. Did I just get your attention?

Good deals to be had

I have an addiction. I'm addicted to the feeling of finding a good deal. Recently, I found an easy way to feed my addiction. I have discovered the world of group buying. Group buying clubs like Groupon, Wagjag, and Team Buy have hit the Toronto market in the past year. Here's how they work: a daily deal of 50%-90% off the regular price of spa services, restaurants, sporting events, activities, etc. is offered; there's a set number of buyers needed to activate the deal; there's a set amount of time you have to buy the deal; and once you buy the deal, you get an e-voucher that you print to redeem the product or service. Easy right? Wedding related good deals to be had that I've seen in the past couple of weeks alone: 96 gourmet cupcakes for a mere $120; $50 for custom made shirts; $600 for a photo booth; and a deal I couldn't pass up - $29 for a one hour hot stone massage and a spa manicure or pedicure. Here's to group buying power!

Still and Motion Images

Earlier this month, my husband and I celebrated nine years of marriage. Our celebrations included looking through our wedding album and watching our wedding video (on VHS no less). This year we included our four year old daughter in these activities and realized even more the reason why everyone should have both still and motion images of their wedding day. Our daughter loved seeing our wedding through both lenses and getting answers to questions through one that she couldn't get through the other. Questions such as "Mommy, what were you and daddy saying to each other?"

Still images are wonderful for capturing what we see and what we feel. Motion images add another layer by capturing what we hear to add to the emotions felt on that day. Years from now when the memories are not so clear and questions are being asked by little people who weren't there you'll be happy to experience the day once again.

Talkback Tuesday: WHO will you invite – The Guest List?

Last week on Talkback Tuesday, I reviewed the five areas to focus on when conceptualizing your vision for your wedding. For the next five weeks I will discuss each area of focus in greater detail. Let’s kick it off this week by discussing the WHO of the event – the guest list.

It’s always nice to start out the discussion on who to invite by discussing who is getting married. What I mean is that a discussion about your personality, your style, your preferences, etc. should be factors in deciding whom to invite to your wedding and the size of it. If you or your partner are natural introverts you’re not going to want to socialize with a bunch of people you don’t know that well. Or vice versa if you are a party animal you’re going to want more than just family there.

The other driving factor in deciding on the guest list is how much of a role does your respective families play in your lives. This is a complex issue involving family dynamics and monetary contribution to the wedding. Pleasing your parents may be very important to you so you may want to consider their selection of guests. If your parents are paying for all or part of your wedding, there may be some expectation that they will be able to make a selection of guests as well.

Deciding on the guest list is often not easy for couples so hopefully this will be helpful for those of you out there struggling. Good luck!

Talkback Tuesday: Conceptualizing your Vision

Many people come to me with a vague idea of what they want for their wedding day and it’s my job to help them conceptualize that idea. These are the basic questions that I use that may help you to organize your creativity and enthusiasm.

WHO
Who do you want to be there to share in your celebration? Out of this discussion comes the estimated guest count.

WHAT
What kind of atmosphere do you wish for your wedding? Formal or casual, grand or intimate.What traditions do you want to incorporate in your wedding? Maybe there are cultural traditions that are important to you or your families (i.e. Chinese tea ceremony, Hindu saptapadi, Jewish signing of the ketubah, etc.) What are the important elements to you about the wedding day? Are you a foodie so exceptional cuisine is a must? Are you an enophile so a superior wine selection is a must? Do you love aesthetics so the décor and floral must be pleasing? Is the environment important to you so that your wedding must be ecologically friendly?

WHEN
What time of year would you like the wedding? Would you prefer a morning, afternoon or evening event? Will it occur in the course of one day or a whole weekend?

WHERE
Are you dreaming of a sandy beach on a tropical island or your parents’ lovely backyard? The choices are endless – traditional church and banquet hall,
national forest, city park, hotel ballroom, private estate, golf course, etc.

HOW
A whole array of items falls under this question. How will you invite guests? How much is your budget? How will you pay for the wedding? And of course all of the logistics of the actual wedding day - one of the most important is how will you accommodate/host your guests?

Talkback Tuesday: Reviewing Vendor Contracts

Talkback Tuesday is back! This week’s topic: vendor contracts. In the coming weeks and months you will be signing a number of contracts so what should you look for to prevent any surprises as your wedding day draws nearer?

The Basics:
Make sure all the who’s, what’s, when’s, where’s and how’s are covered in any contract you sign.
Who – your name and the name of the person providing the service (name of the specific photographer or cinematographer that you have specifically requested if applicable)
What – details of the product(s) or service(s) that you are contracting for
When – date and time service or product will be delivered, hours of coverage for day of vendors (photographer, cinematographer, DJ, wedding planner, etc.)
Where – location of wedding and reception or other location in which the vendor is contracted to be at
How – policies and payment requirements such as cancellation policy (if you or the vendor cancels), any no-show policy (if the vendor does not show up), any back-up policy (if vendor is unable to be present due to unforeseen circumstances), and payment details including due dates and extra fees such as cake cutting, corkage, over-time, travel, breakage etc.

The Specifics:
There will be specific contract details for each vendor – baker, caterer, venue, suppliers, DJ/band, photographer, cinematographer, florist, transportation, wedding planner, etc. I will share some specifics for two vendors to give you a flavour of what to look for. These lists are not exhaustive so make sure any details that you have negotiated are written in the contract.

The Florist
1. The number of bouquets, centrepieces, corsages, boutonnieres, and other flower arrangements
2. The size, number of flowers and types of flowers to be used in each arrangement
3. Acceptable substitutions if certain flowers are not available.
4. Price adjustments if less expensive substitutions are used.
5. Price adjustments if flowers are not fresh or arrangements are smaller than agreed upon.

The Photographer
1. Schedule for posed photographs and agreed upon hours.
2. A list of any photographs that must be taken.
3. The ratio of color to black and white photographs.
4. Equipment to be used (including backup equipment).
5. The number and type of albums included in your package.
6. The delivery date of the proofs.
7. The delivery date of the album(s).
8. The number and sizes of any extra prints included in your package.
9. Whether or not light retouching is included in your package.

Cookies aren't just for Santa!

Missed me? "Tis the season for colds and flues. Fa la la la la! It seems that my family and I wholeheartedly flung ourselves into the season - one at a time. But I'm back (with a box of tissue next to me) and ready to share with you a Pittsburgh wedding tradition that the NY Times spotlighted last week. The cookie table.

My mouth is watering thinking of the mounds and mounds of homemade cookies: lady locks, pizzelles, buckeyes, biscotti, Italian wedding cakes... Cookie recipes that have been handed down in the family for many generations hold true to the test of time as they are once again brought out in the kitchens of brides, grooms, and their many family members who will be baking and freezing for weeks before the big day. It will take a team of people to transport the thousands of "love cookies" (as my daughter calls them) from the many homes where they have been kept safe to the venue. Then another team to assemble them all on the table. When they are finally unveiled at the reception, the hordes will descend, devour and depart with a few in a napkin or a container to munch on later. It seems that wedding receptions in Pittsburgh do not lack for tradition, personal touch or homage to the sweet tooth. Why not borrow this lovely Pittsburgh tradition for your own wedding. In the words of NY Times staff writer, Ron Lieber: "For many families today, it would be bordering on sacrilege to do without the table."

Talkback Tuesday: Selecting a Photographer

Talkback Tuesday is the day when I highlight a wedding planning issue, quandary or dilemma.

You’ve got the ring on the finger, the pot of cash divided up, and the location of your magical day secured, what next? An important and personal decision that needs to be made is choosing the person who’s going to capture the special moments of your wedding day. It really comes down to two major questions when selecting a photographer:

What does s/he come with?

The right perspective: What is his or her perspective on wedding photography and the role of the photographer at the wedding? Their answer to these questions will let you know if it fits with how you envision the photographic aspect of your wedding.

The style and technique: What style of photography is his/her strength - photojournalistic, portraiture, traditional, etc.? Does their style fit with what you are looking for? Just as important as style is technique. There are many young photographers out there that have a lot of style but lack the technique to capture solid images. This may be due to lack of training or experience. How long have they been photographing weddings? Do they photograph as a hobby or as a profession?

The personality: Do they have a fun energetic personality or are they lame and lethargic? Do they have a big ego or are they friendly and open? Let's face it, the photographer is the one you will be spending most of your wedding day with, even more so than your close family members, so make sure you pick someone who you enjoy spending time with.

The accompaniments: Will they have an assistant on the day of the wedding? Having an assistant will free them up from spending time on preparing equipment so that they can shoot more images. Will they have extra equipment in case the primary equipment malfunctions? What type of equipment will they be bringing – lighting, types of lenses, etc?

The references: Get at least one reference that is a recently completed wedding client. You can get a much better idea of a photographer and their work from speaking with someone directly rather than reading their testimonials on their website.

What will s/he deliver?

The coverage: How much hours of coverage will they be providing? You can generally contract photographers from 4 hours and up.

The products: Are the images that the photographer produces crisp and posed attractively? This is partly what you will be using your in-studio meeting time to verify. What products will you receive for the price you have negotiated? Products include: a disk of high-resolution images with printing rights, albums, prints, coffee table books and large wall art. What products do you need and which ones can you eliminate to save money?

The timing: How long will it take to have the proofs ready? How long will it take to have the finish products ready? If they will be using film, will they develop it themselves or will they send it out to a lab? You don’t want to have to wait until your first anniversary to receive your wedding photos so make sure you ask these questions and the answers are acceptable to you.

The Wineries in Niagara-at-the-Lake

Today's rainy day reminds me of a day I recently spent in Niagara-at-the-Lake touring possible venues. Despite the rain, I thoroughly enjoyed clomping through the vineyards. It reminded me of Santa Ynez Valley (without the rain) where I have previously participated in many wonderful vineyard weddings. There's something special about looking out at the neat rows of grapevines as far as the eye can see and then sipping the product of the fruit produced on those same vines. You don't have to go as far as California to have this experience for your own wedding day. Here's a sampling of what's available less than two hours from Toronto:

Talkback Tuesday: Developing a Budget

Talkback Tuesday is the day when I highlight a wedding planning issue, quandary or dilemma.

Money doesn’t grow on trees (even if we wished really hard with our eyes closed). So we have to learn to manage what we have. What many people struggle with is the concept of budgeting. Many people see budgeting as a restriction on spending, a cramp on their style. The truth is budgeting is just management of spending not restriction of it. Whether your pot of gold is small or large you should still have a budget. The smaller the pot the less to manage. The bigger the pot the more to manage. When it comes to budgeting for a wedding, these are the factors you should establish:

Who’s paying?

Tradition differs from culture to culture and generation to generation. The bride's parents/family pay in traditional Western cultures. The groom's parents/family pay in Chinese and other Asian cultures. Many of today’s couples are paying for the event themselves.

How much are you willing to spend?

Once you and your soon to be significant other decide what the magic number is, set your budget significantly below this amount as it is guaranteed that you will go over it.

How are you paying?

Plastic is handy for emergencies but should not be the main means of paying for your big day or you’ll be paying for it well into your first anniversary. Plus you may be able to negotiate better rates for products and services if you offered cash. Start putting money into the wedding fund right after the question has been popped and the rock is securely on the finger.

How to allocate?

The biggest portion of your budget will be for the reception (food, beverage and cake). This should be 50% or so of the total budget so if your budget is $50,000 than you have $25,000 to spend. The rest of the money will be divided amongst: ceremony (site fee and officiant fee); flowers & decorations (including any lighting needs); ceremony and reception music (including sound system needs); photographs & video; favours & gifts; stationary; wedding rings; wedding attire (including accessories); transportation; wedding planning services (very important:o)); and miscellaneous items (to cover unexpected costs and fees). How you divide the percentages amongst these categories will depend on your priorities. As long as it all adds up to 100% then you are in good shape.

Today's topic of choosing a venue came out of a recent discussion I had with one of my clients who was deciding on a venue for the reception. She was thinking of going the traditional route and holding it at a banquet hall. As we discussed her reason for this choice, it became clear that it was mainly because banquet halls is what she's familiar with as a setting for a wedding reception;she was under the misconception that she wouldn't need any suppliers because everything would be included in the hall rental; and she believed that it was more affordable then less traditional venues.

Wedding ceremonies and wedding receptions can take place anywhere and anytime that suits you. If you would prefer a homier celebration, a backyard shindig might be suitable to your tastes. If you are an art lover, an art gallery, museum or theatre might be your choice. Perhaps you just want an intimate wedding under a palm tree on a sandy beach then destination weddings are for you. So the first step in choosing a venue is determining what kind of setting do you envision for your special day: traditional, home, destination or alternative.

The second step is to consider what supplies each possible location will provide for you as part of the rental fee. Will the venue provide all the supplies you will need such as tables, chairs, china, flatware, glassware, linens, etc. or will you need to rent everything including garbage cans? I once planned a wedding with a client who chose to have her wedding at a rustic off the beaten path location. This meant that we had to rent everything from power generators to portable toilets. So although the site was inexpensive, the planning involved in making the site a venue for a wedding was very costly. Going back to my client who was considering the banquet hall: one of her reasons for the choice was cost but when I showed her a price comparison between the banquet hall and another venue after considering food, beverage, and supplies she was surprised that the lovely venue she thought was beyond her budget was in fact less expensive then the banquet hall.

The next step is to consider the availability and exclusivity of the venue. Is it available on the date or at the time you would like? Many venues set specific times that the venue is available to you such as from 6pm until 1am. Would you consider changing your date to accommodate the venue's availability or as a way of taking advantage of lower rental fees (most venues offer a lower rental fee for events on Friday and Sunday events)? A venue's availability may ultimately be the deal breaker if you are set on a certain time or date for your celebration.

Exclusivity speaks to whether the venue has booked another event on the same day as yours. Some venues have a policy of booking only one event per day which means that you may have access to the venue earlier or exclusive use of the whole venue. Other venues may book two events on the same day, one in the afternoon and one in the evening so you would not have access to that venue until just about an hour before your event. This may interfere with any elaborate decor plans you may have.

The final step to consider is of course cost, which has been hinted at in the previous steps. That is because all your wedding planning decisions must consider cost and whether it can be accommodated in your budget. It will not serve you to fall in love with a venue and then find out that it's way beyond what your budget is; that is of course if you have a budget. Talkback Tuesday is the day when I highlight a wedding planning issue, quandary or dilemma. This is the first of many Talkbacks. Next week: Choosing a Venue - What to look for?

By the number of inquiries flowing in recently, I know couples are beginning to consider whether they can accommodate the services of a wedding planner in their budget. The first and often times the only question I receive is "How much do you charge?". This is of course an important question to be asking but also equally important information to have in your decision making are:

1. What exactly will be provided for that price?

Comparing wedding planning services is not comparing apples with apples. It's more like comparing apples with oranges. Both a fruit but they are very obviously different in texture, flavour, and look. Wedding planners may have similarly named packages - "Day-of Coordination", "Month-of Coordination", "Full Service Wedding Planning" but they offer very different services under each package.

2. What do their past clients and other vendors have to say about them?

Experiences of past clients and other vendors are your best indicators of what a wedding planner is like. Photos show the beauty of the wedding which is great if the wedding planner was the one who provided the conceptualization and design aspects but it won't tell you anything if the wedding planner provided month-of or day-of coordination services. Ask if you can contact a couple of their past clients or vendors that they have worked with.

3. What is the extent of their experience in the event industry?

Notice I did not write "How long have they been a wedding planner?" That's because many wedding planners have previously been in other areas of the event industry that are assets in a wedding planner. For example, I started out in the event industry in catering. This gives me a wonderful perspective and knowledge of one of the biggest aspects of your wedding day - the reception.

4. Did you enjoy your interaction with the wedding planner during your initial consultation?

Every event planner is different in personality and style so take advantage of the initial consultation that event planners offer at no obligation to meet them and see if you click.

5. Is a wedding planner a necessity or a luxury?

Most people would consult with a lawyer over a legal matter, a financial consultant with financial planning or a physician with a health issue so why wouldn't they consult with a wedding planner (an expert in the area of wedding planning) when it comes to planning the biggest event of their lives? You've all heard it before - wedding planners save you money, time and stress (which is all true) but it really comes down to the fact that you are spending a year to two years of your life planning for an event that you have likely never planned before so to me it's a no-brainer to retain the services of an experienced wedding planner. Definitely a necessity not a luxury.

On a recently lovely rainy day I strolled through several of the galleries housed in the historic Distillery District (http://thedistillerydistrict.com), the most important heritage destination in Canada. My dear readers, did you know that 6.1 percent of the wedding budget is spent on the bridal gown but only a mere .8 percent of the budget is spent on the groom's attire? Consider that the bride will only get to wear her gown on the one occasion (we won't tell about all those private times that you've put it on at home). By the way, if you have not yet discovered the Clothing Show, it is a must attend event to sample the latest from our talented local Canadian designers. Ophelie Hats are designed and handmade in a Montreal atelier and presented in shows in New York, London and Paris. Their hats are distinctive and their head accessories are exquisite. Many a trendsetting bride have been photographed sporting one of their gorgeous head pieces. During this past weekend's event, I was lucky enough to enjoy the blissful sounds of Ken Edge (www.edgemusic.ca), jazz pianist. I have been thinking about the distinct feel that live music provides for an event that recorded music just isn't able to do. Whether you have an organist and cantors at a church, a guitarist at a simple outdoor ceremony, or even a full string quartet for an elegant affair, live music can inspire the senses to fully immerse in the love and happiness of the couple exchanging their vows and the joy of the family and friends witnessing their exchange.

Scarboro Golf and Country Club

I recently had the opportunity to visit the uniquely beautiful Scarboro Golf and Country Club. From the minute I entered the distinctive driveway flanked by brick pillars I felt as though I had stepped into an elegant European estate. It was difficult to believe I was less than 30 minutes from downtown Toronto! A circular driveway led me around a charming landscaped fountain before depositing me at the doors of the gorgeous Victorian clubhouse. The clubhouse offers an enclosed veranda, two opulent ballrooms with panoramic views of the 18th and 19th holes, and a nicely appointed lounge that houses two working fireplaces and a grand piano. If that's not enough, an exquisite ceremony site is available on a lush manicured lawn! I left the Club absolutely awestruck with visions of a luxurious affair. I will highly recommend this venue for my clients with discerning taste.

Toronto Wedding Trends for 2010

With the 2009 wedding season not quite at an end, my mind is already eagerly anticipating the wedding season of 2010. First on my mind is the trends that we will be seeing:

1. Smaller guest lists for a more intimate affair.
2. Outdoor venues that allow for a more personal touch - backyards, cottages, lakeside/beach side.
3. Going all out in the details - dreamy decor, extravagant floral arrangements, beautiful stationary, and lets not forget about fine food and wine...
4. Glam, glam, glam - from birdcage veils to rhinestone napkin rings.
5. Black and white - never out but moving back to the forefront.
6. "Green" weddings continuing with its upward movement.
7. Out with the traditional wedding cake, make room for the cupcakes and the pies.
8. Strapless wedding gowns with a focus on the accessories - think flower garland head bands, feathers and jewels in the hair, dramatic earrings and necklaces with bling.
9. Favours that are meaningful whether they honour the couple's heritage or they were made with a personal touch.
10. Knock'm out grand entrances and first dances.

Tap. Tap. Tap. My ears have registered that it is raining but my my mind is hopeful that my eyes will prove my ears wrong. No such luck. It rains in Santa Barbara a dozen days in a whole year and it's chosen this particular day to show its beauty. A flurry of phone calls and a cup of soothing tea for the bride and Plan B is in motion. Rain, fezzes, tea and happiness will fill this day. Thank you Leila and Whit for letting me share in your happiness.
